What does this privacy statement apply to?
This privacy statement applies to all personal data collected by EBN (‘EBN’ or ‘we’) via www.ebn.nl, www.scanaardwarmte.nl and www.energieinnederland.nl (‘the websites’), our careers site at Homerun, when you visit us in person, through contacts if you work with EBN as a partner, when you apply for a job with us, or when you contact EBN as a journalist. This personal data will only be used in accordance with this privacy statement and the applicable laws and regulations. If in our websites or newsletters we refer to information on third-party websites, then the relevant third party is responsible for the content of that website and their privacy policy applies.
What is personal data?
Personal data is information that can be traced back to you as a person, such as your name, your home address and your email address. You will find more information about personal data and privacy law on the Dutch Data Protection Authority website.
Why does EBN process personal data?
When you request information from EBN, we need your address details to send you this information. EBN also records personal data you provide when you request a brochure, the annual report or an infographic, for example, and we process this personal data so that we can send you this material. We also process personal data if you register to participate in an event organised by EBN, if you sign up for a printed or online newsletter, or if you submit a claim or complaint to us. In these cases, EBN processes your personal data on the basis of your consent.
EBN maintains its own basic register with the details of contacts of partners EBN collaborates with; it records these details for the purpose of maintaining contact and handling its business relationships. This basic register is only accessible to EBN staff.
EBN also records your personal data when you visit our offices in Utrecht. You must then always identify yourself with valid proof of ID.
EBN processes the personal data of applicants who apply for a job with us.
Our spokespersons also record contacts with the media in the Smart.PR system.
What personal data does EBN collect and process, and for what purpose?
– During your online visit
EBN collects personal data from users on its websites, including, but not limited to:
- first and last name
- contact details such as email address
- IP address and other data about the device used to visit the website
- information about your use of the website.
Purpose of processing data collected online
EBN processes personal data collected via its websites to:
- improve EBN’s websites and services
- analyse website traffic and user behaviour to optimise the websites
- provide information about EBN services and products that may be of interest to you
- handle complaints and claims
- present you with personalised ads on the website (this only applies to scanaardwarmte.nl: this function is not used on ebn.nl or energieinnederland.nl).
– During your office visit
EBN collects personal data from visitors to our offices, including but not limited to:
- first and last name, company name
- contact details such as email address and phone number
- date and time of arrival and departure
- details of the EBN employee with whom you have an appointment
- your car registration number if you park in our car park.
Purpose of processing data collected during your visit to our office
EBN processes personal data collected when people visit our offices to identify visitors for safety and security purposes so that we know at all times who is present in the building in the event of an emergency situation.
– In connection with a job application
EBN collects personal data from applicants via the Homerun platform, including but not limited to:
- first and last name
- contact details such as email address and phone number
- CV (and all personal data included on this).
The purpose of this data processing is to process applications for job vacancies at EBN.
– During contact with the media
EBN collects personal data during contact with the media, including but not limited to:
- first and last name of the journalist, name of media outlet
- contact details such as email address and phone number
- date, time and nature of the contact
- email exchanges between EBN and the relevant journalist.
Purpose of processing data collected during contact with the media
EBN processes personal data collected during contact with the media to:
- improve our information provision to journalists and the media
- personalise information based on the needs of journalists
- monitor the impact of our interactions with the media.
How does EBN collect your personal data?
EBN uses cookies and similar technologies on its websites, such as that of Complianz, LinkedIn Insights, Google Signals and Google Analytics, to collect anonymised data about how our websites are used. This data may relate to, for example, your surfing behaviour on the EBN website, your location, the pages you visit, the type of device you use to visit the relevant EBN website and the time you spend on the EBN website. This data is collected and analysed in anonymised form to improve our websites and to offer you a better service. Visit the LinkedIn website and the Google website for information on how each of these processes your data. EBN uses the services of Mailchimp to process your subscription details on our mailing lists and when you register to participate in an event. When you visit our offices, an EBN employee will enter your data in our visitor registration system. EBN records the details of media contacts and interactions in the Smart.PR system. See the Journa website of Smart.pr for information on how they process your data as a journalist. EBN staff enter the personal data of contacts and business partners in EBN’s own basic register. See the Homerun website for information on how they process your data as a job applicant.
How does EBN secure your personal data?
EBN places huge importance on treating and securing the personal details you provide with the greatest possible care. We work as much as possible with partners within the EU and we do not share more data than necessary. You can rest assured that EBN is taking the correct technical and organisational measures at all times to secure your personal data, including making use of the latest security technology. We regularly review our security procedures to ensure that these comply with applicable standards so that your personal information is optimally secured and protected against loss, theft, unauthorised access, misuse, alteration or disclosure.
How does EBN deal with security incidents/data breaches?
Despite our precautions to keep personal data as secure as possible, incidents involving personal data may still occur. These kinds of incidents are referred to as data breaches. If you believe there has been a data breach at EBN, please contact EBN immediately on +31 (0)30 233 9000 and ask for the Legal department. You can contact us outside of office hours via this online form.
We would appreciate it if you could include the following information when reporting a data breach:
- your name and contact details
- a description of the incident
- the personal data involved
- which systems are involved in the incident, and
- when and how you discovered the incident.
Does EBN provide personal data to other organisations?
EBN does not generally share your data with others, unless it is necessary to comply with legal obligations, such as a court order or a request from the police or other government authority. We make a further exception with regard to service providers that process personal data on behalf of EBN and are contractually bound to protect your personal data and to have the right security measures in place. Under no circumstances will your data ever be sold.
What are your privacy rights and how can you control your personal data?
You have certain rights pertaining to the personal data EBN collects from you and processes. This includes the right to know what personal data we have collected and processed about you, the right to correct this personal data or have it deleted if it is incorrect or incomplete, and the right to object to the processing of your personal data.

You can unsubscribe at any time from the Google Analytics features we use on our websites. This can be done through the ad settings in your browser or mobile device, or by another means like the Network Advertising Initiative (NAI) consumer opt-out tool. You can unsubscribe at any time from the LinkedIn features we use on our websites. This can be done through the opt-out options that LinkedIn offers for this purpose, which can be found here.
Online: adjust preferences for/unsubscribe from our digital newsletters (Mailchimp)
At the bottom of all our newsletters you will find a link to unsubscribe from or change your preferences for the relevant newsletter. Click on the link of your choice and update your preferences or unsubscribe from the relevant newsletter to have your personal data deleted from the database. You can also use this online form to submit a request to have EBN delete your personal data.
Registration of office visits, Smart.PR, complaints or claims, details in the basic register, job applications and other exercise of your privacy rights
To exercise your other rights regarding the registration of your office visit, as a partner in the EBN basic register, your complaint or claim, job application, or your registration as a journalist by EBN in Smart.PR, or if you have any questions or comments about our privacy policy, you can contact us using this online form or by sending a letter for the attention of the Legal department. You will find our address details on EBN’s general contact page. Please include the following information in your correspondence:
- your name and address
- the date
- a description of your request, including your relationship with EBN.

EBN reserves the right to change and update this privacy statement at any time and without prior notice to comply with changing laws and regulations or to meet other requirements.
